TPsign is an e-Signature app backed by TrustPro QTSP, a Qualified Trust Service Provider (QTSP) authorised under EU Regulations to issue Qualified Electronic Signature (QES) certificates.

Users who don’t yet have TrustPro QTSP credentials (“pen“) will be automatically redirected to the TrustPro QTSP smartOnboarding page for identity verification before they can access TPsign (“desk“) to sign documents.

TrustPro QTSP – smartOnboarding Instructions

Please use the link above to begin the onboarding process and obtain your TrustPro QES (Qualified Electronic Signature) credentials.

Upon completion of the remote identification process, your qualified, eIDAS-compliant electronic signature will be activated. You will receive all relevant information via email, and the signature will be ready to use with TPsign.

Onboarding Guidelines

To ensure a smooth registration process, please follow the steps below:

1) Browser Compatibility
Use the latest version of Firefox, Chrome, or Opera for the onboarding process.

2) Required Items

Have your ID document (passport or national identity card) and the mobile phone you will use for registration ready.

3) Device Check

Ensure your webcam and microphone are functioning properly.

4) Document Framing Tips

  • Your ID document must be fully visible and clearly framed.
  • The video recording will last more than one minute, with approximately 30 seconds dedicated to showing your ID.
  • Do not rush—make sure the ID is held steadily, and all data is easily readable by the TrustPro QTSP Registration Authority Officer (RAO).

5) Review Your Recording

After completing the video, review it carefully to confirm there are no issues with video or audio quality.

6) Email Communication

If you do not receive expected emails, please check your spam or junk folder.

After Activation

Once your electronic signature is activated, you will receive a 10-day free trial, which includes the use of one electronic signature.

After the trial period, you can choose from the following Digital Signature plans:

  • BASIC
  • STANDARD
  • PROFESSIONAL

Additionally, you may purchase timestamps, which can be combined with digital signatures to provide legally valid date and time validation. These timestamps are compliant across Europe and allow you to prove the exact moment a document was signed.

How to sign

TPsign – The Universal Digital Signature Console

Once logged in, the minimalist user interface enables you to easily upload the document(s) you wish to sign. TPsign supports signing multiple documents at once, using a variety of signature formats.

Just like during login, you can click the ‘?’ button while using the signature interface to access a guided tour of its features.

To sign, select your preferred signature format at the top left of the command bar (PDF and/or P7M buttons). For PDF signatures, a signature field will appear directly on the document. For P7M signatures, the signature field will be displayed in the right-hand panel of the interface.

To place the signature field on the document, simply click and drag it to your desired location. You can resize the field using the icon next to it.

You can sign multiple documents and apply multiple signatures in a single operation. Use the button at the top left to upload as many documents as needed. Then, use the PDF and P7M buttons to add as many signatures as required. The left-hand column displays the list of uploaded documents, while the right-hand column shows the signatures to be applied, as well as any existing signatures already present in the documents (e.g., signature by John Smith).

To complete the signing process, click the pen icon within the signature box or use the SIGN button located in the command bar at the top right.

The signature screen provides a summary of the number and types of signatures, as well as the number of documents, indicating whether time stamps have been applied. For more information on time stamps and how to purchase them, please refer to the relevant sections in this How-To guide.

Generate the OTP (One-Time Password) using your oathMobile app, Google Authenticator, or Microsoft Authenticator (available only after completing a purchase), then proceed to sign.

After signing, the dialog box for saving the signed files will open automatically. Additionally, successful signature icons will appear in the right-hand column, corresponding to each selected signature format and signed document.

Free trial

After successfully completing the online identification procedure (smartOnboarding) with TrustPro QTSP and obtaining your qualified electronic signature credentials (“pen”), you can log in to TPsign (“desk”) to start signing. Users are granted a free trial signature, which can be used to sign a document with full legal validity, as it qualifies as an eIDAS-compliant qualified electronic signature. The free trial provides access to a single qualified electronic signature.

Please note that this trial signature does not include a time stamp.

The free trial requires a second factor of authentication: a 6-digit one-time password (OTP) sent via SMS to the user’s registered phone number, which must be entered to complete the signing process.

If you do not receive the SMS with the OTP, you can request to receive the code via a phone call by clicking the CALL ME button.

If you choose to apply a timestamp without having an available balance, the signature panel will remain locked. To proceed, either purchase a timestamp package or deselect the Apply timestamp option.

Is the signature panel locked and you can't sign?

If you’re seeing that the signature panel is locked, it could indeed be due to one of the following reasons:

  1. Signature Package Exhausted
    – You’ve used all the signatures in your plan.

    What You Can Do:

    • Purchase a new signature package through the TrustPro QTSP eShop accessible via the link in your User Profile tab.

  2. No Timestamps Available
    – You’ve used all the timestamps in your plan.

    What You Can Do:

    • Either purchase a timestamp package or deselect the “Apply timestamp” option.
  3. Signature Period Expired
    – The validity period of your signature package (monthly or annual) has ended.

    What You Can Do:

    • Purchase a new signature package through the TrustPro QTSP eShop accessible via the link in your User Profile tab.
  4. Signature Certificate Expired
    – Your qualified electronic signature certificate has a 3-year validity and may need renewal.

    What You Can Do:

    • Purchase a new signature package through the eShop in your user profile tab.
TPsign signature preferences

By clicking the hamburger icon in the command bar at the top left, you can customize the text and visual appearance of your signature.

Clicking the question mark (‘?’) button activates context-sensitive help. This feature is especially useful and recommended for a guided tour of the signature customization options.

You can choose from six available signature configuration options:

  1. Signature image only
  2. Signature image (top) + text (bottom)
  3. Text (top) + signature image (bottom)
  4. Signature image (left) + text (right)
  5. Text (left) + signature image (right)
  6. Text only

Depending on the selected signature option, you can customize either the graphic element only (option 1), the text only (option 6), or both the graphic and text elements (options 2 through 5).

For example, if you select Option 1 (signature image only), you can customize the color of the signature image and upload your own signature using the upload icon on the right side of the graphic options panel (Default image). Note that when this option is selected, text customization is not available (Function not available).

If you select Option 2 (Signature image (top) + text (bottom), which includes both a signature graphic element and a text element, both configuration panels will be enabled. In the example below, the signature image uses the default graphic, styled in red with the ‘Salonica’ font. The accompanying text element is set in blue, with a text size of 2, and displays the message: ‘Signed by … on …’.

In the text configuration section, you can define the text formula by clicking the hamburger menu next to the text field. Click the SAVE button to apply and store your changes.

  • The TPsign app supports dynamic placeholders for customizing signature text. Below are examples and their meanings:

    • “Signed by %n %s”

      • %n represents the user’s first name

      • %s represents the user’s surname

    • “Signed by %n %s on %d”

      • %n = first name

      • %s = surname

      • %d = date of signing

    • “%n %s – %d”

      • Example output: John Doe – 25-05-2025

    • “Signed on %d by %n %s”

      • %d = date of signing

      • %n = first name

      • %s = surname

      These placeholders automatically populate with the user’s information and the signing date when the document is signed.

    By removing the placeholders (e.g., %n, %s, %d), users can enter custom text—such as a pseudonym or alias—instead.

    The final section of the signature configuration panel (Other Options) allows you to enable features such as maintaining aspect ratio, specifying the reason for signing, and adding timestamps. TPsign contextual help

Each time you click the question mark (‘?’) button, contextual help is activated. This feature is especially useful for first-time TPsign users to get familiar with its functions.

Contextual help is available both on the login page and within the signature interface after logging in.

Layout of the TPsign desk

From the main menu, you can choose between two layout options:

  1. Two columns on the right and left
  2. Single column on the right

These columns display the list of documents, existing and pending signatures, and the page browser.

Important: The layout must be selected before uploading any documents, as it cannot be changed afterward—unless you return to the empty desktop view.

User profile and TrustPro QTSP personal page

You can access your User profile by clicking the user icon in the command bar at the top right.

To view the details of your Qualified Electronic Signature (QES) certificate, log in to your Personal page on TrustPro QTSP login page. From there, you can also access the eShop to purchase TrustPro QTSP signature products. 

 

 

Buy your Qualified Digital Signature and Timestamp packages

Once you’ve completed the smartOnboarding process (online identification) and activated your digital signature pen, you can take advantage of a free trial (1 signature) of the electronic signature service.

After the trial, you can choose from one of three Qualified Electronic Signature plans:

  • BASIC – Occasional use
    5 signatures valid for 30 days (can only be purchased once)

  • STANDARD – Regular use
    100 signatures valid for 1 year

  • PROFESSIONAL – Intensive use
    Unlimited signatures valid for 1 year

Once logged into your personal page, click on Purchase and select one of the three options: BASIC, STANDARD, or PROFESSIONAL.

Please Note:

The BASIC signature option can be purchased only once. Any subsequent purchases must be either STANDARD or PROFESSIONAL.

Once you have purchased any of the three signature products (BASIC, STANDARD, or PROFESSIONAL), you will be eligible to purchase one of the two available timestamp bundles:

  • Bundle-100

  • Bundle-500

To request an invoice issued to a specific company with a VAT number, simply select the checkbox at checkout: “I would like to receive the invoice with VAT number.”

 

 

EU WebApp for Electronic Signature Validation

The EU DSS Demonstration Webapp is the EU’s official signature validation tool. It verifies the qualified status of electronic signatures and confirms their validity.

Once the signed document has been submitted for verification, you will receive a detailed report confirming the validity of the signature(s) and any timestamp(s) present on the document.

The EU DSS Demonstration Webapp provides a demo of the claimed features :

TPsign signature validation and Adobe signature properties

In addition to the EU DSS Demonstration Webapp, there are other tools available for verifying signature validity—most notably the built-in validator in TPsign and the validation functionality integrated into Adobe Reader.

TPsign allows you to verify existing electronic signatures on documents. To do so, click the pen icon at the top of the right-hand column, select the signature you wish to verify, and then click on the corresponding signature in the document to open the verification panel.

Adobe signature verification/properties

When a signed PDF is opened in Adobe Reader, a green checkmark will appear in the top-left corner of the blue notification bar if the signature has been successfully verified as valid (“Signed and all the signatures are valid“).

The green checkmark in the Adobe interface indicates that the signature has been successfully verified. To view the signature details, click on the signature within the document or open the Signature Panel from the top right of the blue signature bar, then select Signature Properties.

The Signature Properties tab displays (panel 1 in the picture) key details about the signature, including its validity, qualified status, and whether a timestamp is present. To view the associated certificate, click the Show Signer’s Certificate… button to access detailed information (panel 2 in the picture).

 

Electronic Signature Formats: CAdES, PAdES, and XAdES

When discussing electronic or digital signatures, certain terms often appear—such as PAdES, CAdES, and XAdES. These refer to different standardized formats for electronic signatures, each with specific use cases and technical characteristics. Understanding the differences between them is important when choosing the right type of signature for your documents.

The signature formats CAdES (.p7m), PAdES (.pdf), and XAdES (.xml) are the standard electronic signature formats recognized across the European Union.

PAdES (PDF Advanced Electronic Signature)

  • Use case: Signing PDF documents.

  • File extension: .pdf

  • Features:

    • Retains the original file name and format.

    • Signed documents can be opened, read, and verified using any standard PDF reader, such as Adobe Acrobat Reader.

    • Important: PAdES can only be used with PDF documents.

CAdES (CMS Advanced Electronic Signature)

  • Use case: Signing any file type.

  • File extension: .p7m (e.g., document.docx becomes document.docx.p7m)

  • Features:

    • Suitable for signing any type of file.

    • Requires specific software or a signature client to view and verify the signed content.

    • Modifies the original file name and adds a .p7m extension.

XAdES (XML Advanced Electronic Signature)

  • Use case: Signing XML files, commonly used in e-invoicing and healthcare.

  • File extension: .xml

  • Features:

    • Encoded in a readable textual format compliant with XML standards.

    • Supports automatic processing and multiple signatures.

    • Signature contents can be viewed using a basic text editor.

    • This option is only available when the uploaded file has an .xml extension.

Timestamp: legally certified attestation of the date and time

What is an Electronic Time Stamp?

An electronic time stamp is a service provided by a Qualified Trust Service Provider (QTSP) that allows a legally valid and verifiable date and time to be associated with a digital document. This process provides temporal validation, ensuring the document existed at a specific moment in time and making that evidence enforceable against third parties.

Signatories can use an electronic time stamp to securely bind the document to a particular date and time, thereby proving that the document existed in its exact form at that point.


Legal Value

A qualified electronic time stamp holds full legal value. The timestamped date assumes probative value, meaning it can be used as legal evidence in court or official processes. In many cases, a digitally signed and time-stamped document has greater legal standing than a paper document with a handwritten signature.


Key Benefits

  • Extended validity: Ensures the legal validity of the document even after the digital signature certificate has expired (typically valid for 10 years).

  • Proof of existence: Confirms that the document existed in its exact form at the given timestamp.


Requirements for a Qualified Electronic Time Stamp

To be considered qualified, a time stamp must:

  • Bind the date and time to the data in such a way that any changes are detectable.

  • Be based on an accurate time source synchronized with Coordinated Universal Time (UTC).

  • Be signed with an advanced electronic signature or sealed with an advanced electronic seal issued by a Qualified Trust Service Provider, or use an equivalent secure method.

OTP Code Activation for Qualified Electronic Signature

By purchasing one of the three qualified electronic signature options — BASIC, STANDARD, or PROFESSIONAL — the OTP (One-Time Password) code required for signing will be generated using the oathMobile app, which can be downloaded from the relevant app stores.

Once your purchase is complete, you will receive a confirmation email titled “Electronic Signature Purchase.”

This email includes an attached QR code that you will need to scan using the oathMobile app to complete the setup of your one-time password (OTP) service.

Alternatively, you will find a link in the email that directs you to a step-by-step guide on how to configure the oathMobile app and complete the setup process.

Service activation

Once the app is activated on your mobile device, you can proceed to enable the OTP generation service.

To activate the service, you can choose between two options: manual activation, which involves entering the configuration data step by step, or automatic activation by scanning the QR code provided in the email or accessible via the activation link.

To configure using the QR code, select the QR Code option, tap the SCAN button, and frame the QR code with your camera. Once scanned, the service will be ready to use.

To generate the OTP for signing, click on the GENERATE OTP button.

The OTP generated by the app can be entered into the OTP field in TPsign to complete the signature process.

In the event of an “Incorrect OTP” message, proceed with the synchronization of the app by clicking on the green button in the oathMobile app.

If the problem persists, please open a support ticket to request a new QR code for reconfiguring the service.

Authenticator apps

Changing the OTP App After Purchase

After purchasing any of TrustPro QTSP signature products, you may request to change the app used to generate OTP codes.

To do so, simply open a support ticket with the following request:

Subject: Send QR code for Authenticator activation
Message: Please provide the QR code to activate OTP generation on my Authenticator app.

Once received, follow the instructions to scan the QR code and complete the configuration on your chosen app.

Once you log in to TPsign, the OTP prompt will automatically reference your Authenticator app.

Changing mobile phone

If you’re changing your mobile phone and need to reconfigure your OTP (One-Time Password) service, here’s what to do:

  1. Open a Support Ticket
    Request a new QR code to reconfigure the OTP generator (e.g., oathMobile or Google Authenticator) on your new device.

  2. Install the App
    On your new phone, install the appropriate authentication app (e.g., oathMobile, Google Authenticator) from the App Store or Google Play.

  3. Scan the QR Code
    Once you receive the QR code from support, scan it using the authentication app to activate the service.

  4. Delete from Old Device
    Make sure to remove the app or account from your old device to avoid confusion or unauthorized use.

Haven’t Received Emails from TrustPro QTSP?

If you haven’t received any emails from TrustPro QTSP, please check your spam or junk folder first. This includes messages from:

If you’re using Microsoft Outlook, make sure to check the spam folder both in the Outlook application and in your Webmail (usually accessible at: http(s)://webmail.yourdomain.com/).

Once logged in, navigate to the Spam or Junk folder to verify whether the missing emails are there.

Still Not Receiving TrustPro QTSP Emails?

If you’re checking email from within your organisation’s internal network and still haven’t received messages from TrustPro QTSP (e.g. from onboarding@trustpro.eu or noreply@trustpro.eu), please:

Ask your IT department to verify that the domain trustpro.eu is whitelisted in the internal email filtering or firewall rules.

Ensuring this domain is trusted helps avoid future delivery issues.

Password recovery

If you no longer remember your password, you can recover it by selecting the “Forgot Password” option on the login page.

You will be redirected to the TrustPro QTSP password recovery service page.
